Administrative Assistant & Events Coordinator
Job Summary

The Administrative Assistant & Event Coordinator provides essential support to the Executive Director and the entire team for administrative, logistical, and event-related tasks. This person plays a key role in the smooth running of the organization by helping to improve internal efficiency and coordinating certain activities such as the Benefit Breakfast, Northern Star, and third-party events, supporting the coordination of larger-scale activities such as the Golf Tournament, while allowing management and the Communications Officer to focus on their strategic priorities.

Main responsibilities
Event Coordination
  • Plan, organize, and manage the logistics of fundraising events and other special activities.

  • Coordinate certain suppliers/sponsors, volunteers, registrations, and participant lists.

  • Maintain and cultivate business relationships with major sponsors; regional and local.

General administrative support
  • Greet visitors, answer calls, handle mail, and manage general correspondence.

  • Ensure filing, record keeping, and updating of administrative documentation.

  • Draft, proofread, and format various administrative documents.

  • Manage office supply procurement and coordinate with suppliers.

  • Maintain the database and administrative files by ensuring accurate and precise data entry.

    • Ensure that donor-related activities are accurately and timely entered into ProDon (ERHF database) and donor files in paper and electronic formats.

Governance support
  • Prepare logistics for Board of Directors and Annual General Meeting meetings: send out invitations, prepare and send documents, take notes, and draft minutes.

  • Follow up on required actions and documents.

Required skills
  • Excellent organizational and priority management skills;

  • Highly detail-oriented and accurate in data entry and writing;

  • Excellent oral and written communication skills in French;

  • Good oral and written communication skills in English;

  • Versatility, ability to manage multiple files simultaneously;

  • Good command of Excel software (tables, filters, basic formulas) and general comfort with technology;

  • Service-oriented and collaborative attitude;

  • Discretion, professionalism, and respect for confidentiality;

  • Team player and able to work independently.

Required profile
  • College diploma in administration, office automation, or a related field, or equivalent experience;

  • Relevant experience in administrative support, ideally in a nonprofit organization or a multi-project environment;

  • Experience in event coordination;

  • Governance support will be considered an asset;

  • Experience in content creation or social media management to provide occasional communications support will be considered an asset;

  • Comfortable with digital tools and collaborative environments (Microsoft Suite, Google Workspace, databases, management platforms).
